This Privacy Policy is between Securnyx India Private Limited a company incorporated in India under the Companies Act, 2013, (“Service Provider”) and the User (“User”) governing the User's use of the host of Products and Services of the Service Provider (“Product”) which includes but not limited to this site https://www.teamtrace.app/ , the web "https://platform.teamtrace.app/ ", and the TeamTrace android and iOS app.

This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the Service and tells You about Your privacy rights and how the law protects You. We use Your Personal data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.

For the purposes of this Privacy Policy:

  • You mean the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable. Under GDPR (General Data Protection Regulation), You can be referred to as the Data Subject or as the User as you are the individual using the Service.
  • Company (referred to as either “the Company”, “We”, “Us”, "Service provider" or “Our” in this Agreement) refers to Securnyx India Private Limited, 6th floor, WEBEL IT PARK, Tower II, BN-9, BN Block, Salt lake, Sector V , Kolkata - 700091. For the purpose of the GDPR, the Company is the Data Controller.
  • Application means the software program provided by the Company downloaded by You on any electronic device, named "TeamTrace"
  • Affiliate means an entity that controls, is controlled by or is under common control with a party, where “control” means ownership of 50% or more of the shares, equity interest or other securities entitled to vote for the election of directors or other managing authority.
  • Account means a unique account created for You to access our Service or parts of our Service.
  • Service refers to the Application.
  • Country refers to Kolkata, India
  • Service Provider Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used. For the purpose of the GDPR, Service Providers are considered Data Processors.
  • Personal Data is any information that relates to an identified or identifiable individual. For the purposes for GDPR, Personal Data means any information relating to You such as a name, an identification number, location data, online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity. Personal Data means any information that identifies, relates to, describes or is capable of being associated with, or could reasonably be linked, directly or indirectly, with You.
  • Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.
  • Usage Data Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
  • Data Controller, for the purposes of the GDPR (General Data Protection Regulation), refers to the Company as the legal person who alone or jointly with others determines the purposes and means of the processing of Personal Data.

SECTION 1 - Introduction and application

TeamTrace is the tool you need to run the business with a geographically distributed workforce! TeamTrace is more than a time tracking tool. It has everything you need to run your services business where resources are billable. TeamTrace has Work and activity monitoring platform, HRMS, Project & Tasks platform and Resource management. Our services incorporate:

  • Project management: Teamtrace features an end-to-end project management module to simplify the management of various projects across the organizations.
  • Employee management: Teamtrace technology enhances employee management capabilities by meticulously tracking every aspect of employee engagement and enhancements
  • Resource Management: With Teamtrace, organizations can optimize their resource management protocols for error free utilization. Teamtrace has also integrated with various project management and ERP platforms to enhance its capabilities.
  • Work monitoring: Teamtrace not only offers management capabilities allows managers to track and keep record of their work
  • HR operations: Teamtrace platforms allows HRs to take care of their daily activities and tasks.

SECTION 2 - Information we collect

While using our we may ask for some of your personally identifiable information that can be used to identify or register the user with us. These pieces of information are totally collected with the idea to provide the users with a superlative form of service. Each data is collected for app functionality and the users have full control to update, manage and delete the collected data anytime. The data we collect:

  • Personal info (PII) of the employees: Name, E-mail, address, phone number
  • Human resources team: Name, Phone number, E-mail, profile photo, Previous employment information, skill list
  • Management: Name, Phone number
  • Additional information: IP address, Device info which includes mobile phone OS model and version (including device ID, Android ID, Apple IDFA ID etc.), mobile network and GPS information, referrer.
  • We collect user data to manage and track individual progress on project-related tasks and individual tasks: This data ultimately helps employers manage projects, tasks, resources, and time effectively. Here's a breakdown of the data collected and its purpose:
    • User Information: We may collect basic user information such as name and email address for account creation and identification within projects.
    • Task Data: We may collect data related to user activity within the app, such as time spent on tasks and access to project resources.
    • Activity Data: We may collect data related to user activity within the app, such as time spent on tasks and access to project resources.
  • Notification Access: The app may utilize in-app notifications to display information about application updates, new features, or important changes within the platform. This information is used solely to enhance your user experience. The app is also utilized to keep you informed about improvements, functionalities, assigned tasks, projects, and work that is relevant to your use of the application.
  • We will not collect any personal data through these notifications.

SECTION 3 - Why the data is collected?

  • Personal info (PII) of the employees: consisting of Name, Email address, Task and project ID, Phone no is collected to register the employees on the platform to be able to carry out the basic functionalities. This is necessary information without which the user cannot be on-boarded onto the platform and is used for account setup and administration.
  • Information of Human Resource team: These are used for setting up the Human resources tasks
  • Information of Management: These are used to manage resources in the organization.
  • Location: is collected as the app has several features that require Geo-fencing and Geo-tagged locations. These are used to ensure safety and security and security personnel actions and activity. Here we use a prominent in-app disclosure pop-up and we are using runtime permission as well.
  • Photos and Videos: are used to Create a distinct profile for each user along with helping the users experience a better and richer level of safety. Here we use a prominent in-app disclosure pop-up and we are using runtime permission as well.
  • App info and performance are collected for application performance analysis, fine tuning, diagnosis, performance tuning.
  • Files and Docs are used for downloading several projects, task, workforce, resource related documents, and Pdfs
  • For regulatory compliance and obligations

TeamTrace Collects

  • TeamTrace collects personal info consisting of Name, Email address, Task and Project ID, Device Information, Local Time and Other information to maintain the user's individuality and identification purposes and the information is collected for app functionality purposes and further user needs.
  • TeamTrace collects Email Address of an individual to enable app functionalities like Log in and Registration.
  • TeamTrace collects List info in backend server (https://api-mobile-prod.teamtrace.app) to enable application functionalities like Project ID, Task ID, Start and End Time of the Task, Local Time, Device Information. We don't share this data with any third parties, here we use a prominent in-app disclosure pop-up, and we are using runtime permission as well to make users aware of it.
  • TeamTrace collects Files and Docs to enable functionalities like files or documents uploaded by the user, downloading several project and task related documents, and Pdfs.
  • TeamTrace collects App performance data and app activity for app optimization performance analysis, diagnosis and app performance tuning.
  • TeamTrace collects and utilizes in-app notifications to keep the user informed about everything that enhances user experience. This includes updates, new features, important platform changes, assigned tasks, project details, and work relevant to user specific role within the application. We ensure all notifications are focused on improving user experience and never collect any personal data through them.
  • TeamTrace collects data on your activity within the app, such as time spent on tasks and resources accessed.
  • TeamTrace Task data collection encompasses information about assigned tasks, including descriptions, deadlines, and progress updates.

SECTION 4 - How The Information is Collected

TeamTrace provides its services through our web platform and mobile app (which will be collectively referred to as “Platforms”). User information is collected via our platforms either directly or indirectly to give a great product and service experience and app functionality.

  • Direct Information: All personally identifiable information as mentioned in the “Information we collect” segment is explicitly collected on the platform where users fill in their details and give necessary consent.
  • Indirect Information: Information like App info and performance, App activity, browsing data and other information as detailed in “Information we collect” is collected while the user is interacting with our platform. The same is collected to make the user experience on our platforms better. Such non-personally identifiable information (non-PII) is not provided to any third-party apps.

SECTION 5 - Consent

How do you get my consent?

When you provide us with personal information, we imply that you consent to our collecting it and using it for that specific reason only. We collect data on user activity within the app, including time spent on tasks and accessed resources.

If we ask for your personal information for a secondary reason, like marketing, we will either ask you directly for your expressed consent or provide you with an opportunity to say no.

How do I withdraw my consent?

If after you opt-in, you change your mind, you may withdraw your consent for us to contact you, for the continued collection, use or disclosure of your information, at any time, by contacting us at support@teamtrace.app

SECTION 6 - Disclosure

We do not share any personal information with any organization, company, Individual outside the Service provider. However, we do share information with certain entities under certain situations below:

  • Law enforcement: All personally identifiable information as mentioned in the “Information we collect” segment is explicitly collected on the platform where users fill in their details and give necessary consent.
  • Management team: Information like App info and performance, App activity, browsing data and other information as detailed in “Information we collect” is collected while the user is interacting with our platform. The same is collected to make the user experience on our platforms better. Such non-personally identifiable information (non-PII) is not provided to any third-party apps.

SECTION 7 – Security

All PII data is encrypted at rest.

All data are stored in servers secured by up-to-date firewalls with restricted access

All communication between the Apps, website and backend services are encrypted using 256-bit TLS encryption.

To protect your personal information, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed.

Periodic scans and security audits are done to ensure the security measures are working fine.

SECTION 8 - Retention of your Personal Data

The maximum data retention period is 10 years for historical data. Data older than 10 years like sprint records, task id, project id, task name, date, time records will be deleted after a period of 10 years.

The Company will retain Your Personal Data only for as long as is necessary for the purposes of providing continued service as long as it is being availed. We will retain and use Your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.

The Company will also retain Usage Data for internal analysis purposes. Usage Data is generally retained for a shorter period of time, except when this data is used to strengthen the security or to improve the functionality of Our Service, or We are legally obligated to retain this data for longer time periods.

Users can request deletion of this data which is also known as Right to be Forgotten. User can request deletion of their personal data from our system by writing to support@teamtrace.app

SECTION 9 - Transfer of Your Personal Data

Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located (AWS - Mumbai region). It means that this information may be transferred to — and maintained on — computers located outside of Your state, province, country or other governmental jurisdiction where the data protection laws may differ from those from Your jurisdiction.

Your consent to this Privacy Policy followed by Your submission of such information represents Your agreement to that transfer.

The Company will take all steps reasonably necessary to ensure that Your data is treated securely and in accordance with this Privacy Policy and no transfer of Your Personal Data will take place to an organization or a country unless there are adequate controls in place including the security of Your data and other personal information.
